how can executive stop wasting their
time and do actually some work
how can anyone concentrate on the
business and stop working in the
business as aesthetics today is about
being bald let me tell you – both fruits
from the corporate world truth number
one is that executives well we are so
buried in emails and meetings that we
literally don’t have any time to do what
we are hired to do the executives throat
number two is that all this Monday to
Friday 9 to 5 rules about to die
actually they’re already dead in few
countries so let’s start with the first
truth about executives the Harvard
Business Review and asked codeine issued
a report earlier on this year and said
that every executive out there receive
120 work emails every day and spend 31
hours in meetings so let me break it
down this to you this is nearly four
days every week the same but for senior
management means 28 hours a week which
is three and a half days so maybe now
thinking well they still have one day
right but the truth is that that one day
we travel we do with difficult people we
still do with administration or do we
have personal assistance so we actually
the truth is that we have to stay after
working hours to be able to do our work
so during the working hours we can be
out there for everyone else in the
company several years ago I was working
in a company and when I finished my
contract my bond was as flat as a
pancake from sitting on
years around but from one chair to
another chair just different meeting
room and when I finished my contract I
asked myself how can i with all this
pain what I was physically even pain
experiencing how can I improve my life
as a senior manager at that point and I
find out that the statistic is true I
was wasting my time constantly in
meetings and this meetings would be all
the time about planning and reporting
and trust me would put fancy names like
risk in issues or dependency meetings or
workflow meetings anything but just to
sugarcoat of what exactly we’re doing
and what exactly we were doing is to
plan the next week or the next month and
report this week and yes we all been to
universities we all been to so many
seminars and talk about efficiency in
productivity but how exactly we can
bring this into our life in the real
life and that’s when I created a method
I called one minute update I had this
brilliant idea that if I ask all the
managers reporting to me to get one
minute only either video or audio and in
the first 30 seconds they report to me
what was the most important thing this
week and then in the last 30 seconds
they’re going to tell me what is the
most important for next week then I
don’t need all these meetings the next
time when I sign a new contract and on
the second week I saw my calendar and my
calendar was looking already with seven
hours of this kind of meetings and I
said to myself that that pancake story
is not going to happen again this time
so I call all my managers and I said
you’re gonna use one minute update
method from now on do you remember what
he stands for TG TEDx Entertainment I
thought that these people are going to
worry how they’re going to do out your
video and being in front of camera
indeed one of the ladies said I cannot
do
reduce because I don’t wear my lipsticks
all the time and one of the male
managers in my team said sweetheart I
can do it on in the morning because the
afternoon my hair is a mess only one
person in my team said it is impossible
of what I do for you
to report it and do it in one minute so
I had to prove to them would you like to
see how that looks like one minute to
report everything thank you
so before I demonstrate to you that one
minute how it looks like let me explain
a little bit of that work I was leading
a department which has four teams we
were running thirty-one mutinous
projects and every project out there was
such an importance of the company that
if we failed that project we had to
close the business in that country no
pressure right so my main just had to be
on top of their skills at the beginning
they would send me a report email which
would be that big and that was crawl and
scroll and scroll but because there is
something coefficients in productivity
we put a software them and that software
I know I had to gray out a lot there but
that software at least every single
project there and it give me the red
amber and green status in the
description guess what people do feel
important and they do feel that their
work is important and though it max out
the description characters so I had to
go and read quite a lot I have to say so
for thirty-one projects that would means
several pages there even you have a
software you still have a lot to read
but let’s see how all this can be
replaced in one minute shall we
the first 30 seconds would be usually
what happened this week the second 30
seconds would be what is the priority
for next week so one minute would be
like this hi John this is week
commencing of 2nd of December the TBA
project right now is running really wet
late I’m working with the CFO in the
government with to do to pay a big
penalty however by next Friday I hope
that I can have the whole resolution the
TCA project gives a big example of
complete nonsense as we had to add three
more countries Spain France and Italy we
didn’t prepare for this we have a
massive pushback from the people so
hopefully by next Friday I’m going to
have a lot more information for you and
we can calm down the situation if you
need more details call me if you have a
good weekend
there are another 18 seconds left by the
way so in one minute you can really
replace everything what you can say for
hours so here’s how my calendar in that
new company looked like before I
implemented the one minute update I had
eight of seven and a half hours of this
kind of planning meetings and once my
lady decided that she’s okay to do
videos without a real red lipstick and
the guy agreed that it doesn’t matter if
it’s morning or evening videos my
calendar would go down to half an hour
with them to say what exactly is going
to happen and what is the most important
so I stopped going into from one meeting
to another so the question is this are
we really executives when we do our job
what exactly our contract says you go
from one meeting to another Monday to
Friday 9:00 to 5:00 or your contract
actually says you’re an executive you
lead the people you walk the walk of
your customers you know the market
trends you’re the example and you
the leader of the company which one says
in your contract exactly think about
this I also implemented another method
here the rule that I have a zero email
internal email policy the people who
work with me are not allowed to send
emails full stop yet everything runs
completely smoothly and we deliver on
time it doesn’t matter how much time we
have the second the second rule Monday
to Friday 9:00 to 5:00 I know it’s a
nightmare for everyone
but let me tell you this Netherland
already has twenty eight hours a week
working hours a week Germany has thirty
five Ireland has thirty four so if you
don’t believe me that the Monday to
Friday 9 to 5 is already dead you can
see all these countries and if the
German can do that come on people
everyone can do it
UK has working from home on Friday right
we can all work from home I’m based in
the UK as well France in France women
don’t work on Wednesdays because schools
are closed on Wednesday happy kids there
I don’t know why on Wednesdays but women
don’t work so this already exists out
there if you value your time then
everyone else is going to start value
your time so stop start saying no to the
meetings stop wasting your time start
valuing this time and invested invested
in yourself and invest it in the
business thank you
